On-the-Job Scripts: Scheduling and Administrative Workflow

The CCMA exam has no oral or hands-on component — there's no examiner evaluating what you say. These are realistic phrases medical assistants actually use on the job for this task, so you walk into the role sounding like someone who's done it before.

Verifying identity before discussing PHI by phone

"Before we go further, can you confirm the patient's full name and date of birth for me?"

Explaining a referral delay to a patient

"We've sent your referral to the specialist's office — they typically reach out within a few business days to schedule, but let us know if you haven't heard anything in a week."

The general rule

Confirm identity before any procedure, route clinical questions beyond your scope to the provider rather than answering them yourself, and give patients honest, specific updates rather than vague reassurance. These habits apply across almost every medical-assistant/patient interaction, not just this task.
